How to choose a webinar platform for pharma, medcomms and health & wellness

Quick answer: A webinar platform for pharma, medcomms or health & wellness needs three things at once: compliance that's built in rather than configured, a genuinely affordable price, and a setup that takes minutes rather than weeks. Traditionally, getting proper compliance has meant an enterprise-level contract, a significant annual cost, and a month or more of onboarding before you can run a single session. adeloEngage strips that trade-off out entirely, all three, without the enterprise price tag or the wait..

Feature lists aren't where the real differences are

Every comparison guide for webinar software reads roughly the same way. Polls. Q&A. Breakout rooms. Analytics dashboards. Nearly every platform on the market ticks these boxes, so they're not much use for actually telling platforms apart.

The differences that matter sit somewhere else entirely: is compliance something the platform does automatically, or something a team has to remember to set up correctly. Can you see a price today, or does someone need to get on a call with you first. Is your first session live this week, or is there a project plan involved. Most platforms offer some version of polls and Q&A, that part isn't where they differ. What happens to the session afterwards, whether it's a recording someone has to comb through or a structured insight report generated automatically, is where the real gap tends to show up. A webinar should leave you with more than an attendance list, it should tell you what topics resonated, where sentiment shifted, and what to actually do next. That's the difference between a webinar as an event, and a webinar as a source of actionable intelligence.

Compliance can't really be bolted on afterwards

A webinar in most industries is just a webinar. In pharma, medcomms and health & wellness, it's a regulated conversation that can produce an adverse event report, an off-label question, or a safety concern at any point, planned or not.

Worth asking plainly: does AE reporting happen automatically on every session, or does someone configure it per programme? Do PI footers and consent capture live inside the registration flow, or get added on top afterwards? If the answer starts with "it depends how it's set up," that tells you something. A platform built around this kind of engagement doesn't leave compliance to chance. One with compliance bolted on always will, eventually, on the session where nobody remembered.

General tools and enterprise pharma tools share the same blind spot

Two types of platform tend to show up when you search for this. General-purpose webinar and events software, built for marketing teams broadly, where compliance is either missing entirely or added on as an afterthought for a very different kind of customer. And large enterprise platforms built specifically with pharma in mind, but built around the biggest accounts, multi-year contracts and long implementation timelines, not a team that needs to run one compliant session next month.

Neither of those really fits a pharma brand team moving fast on a launch, a medcomms agency running programmes for several clients at once, or a health & wellness company briefing dermatologists and GPs. It's less about which platform has the longer feature list, and more about whether it was actually built around this kind of regulated engagement.

Nobody publishes a price until you talk to them

Try finding actual pricing for most platforms in this category and you'll hit a wall fairly quickly. A form. A "request a demo" button. Eventually, a custom quote, usually shaped by how many events you commit to running annually rather than what you actually need right now.

That's not automatically a bad sign. It usually just means the platform is built around annual contracts and bigger commitments, rather than a low, published entry point you can see and start from without signing up to a longer contract first. Ask early whether a price is published anywhere, and what the actual contract length looks like once you're past any trial period.

The onboarding timeline is a cost, even if it's not on the invoice

Not every platform in this category requires a long setup process, some are genuinely quick to get going. But a few, particularly the platforms built around large enterprise pharma accounts, involve a real implementation project after a contract's signed, technical setup, training sessions, sometimes weeks or longer before the first session actually goes live.

That's a reasonable trade for a team planning a year of activity around one central platform. It's a different question for a team that wants to control its own setup process, on its own schedule, rather than working through someone else's project timeline first.

Worth asking directly what happens between signing up and running a session. A kickoff call and a multi-week implementation plan might be entirely fine for some teams. For others, it's the reason to look elsewhere.

Self-serve matters even if a sales call has never bothered you

Plenty of teams, especially at larger pharma companies where procurement expects a longer process anyway, genuinely don't mind a sales conversation. Self-serve isn't really about skipping people. It's about who controls the setup.

Even a launch or congress planned months in advance still has to go through someone else's onboarding process on some platforms, sales calls, implementation, training, before a team can actually run anything. adeloEngage means that setup step sits with your own team, on your own schedule, rather than depending on a vendor's project plan. That autonomy is the value, not urgency for its own sake.

Where this actually shows up in launch outcomes

Deloitte's analysis of US drug launches between 2012 and 2021 found 34% missed their forecasts, with limited market access and a poor understanding of market and customer needs among the most common contributing factors. That second one is worth sitting with. HCP engagement, whether that's education or gathering HCP insight and opinion, sits somewhere in nearly every one of those launch plans, and every session is a chance to actually close that gap in understanding. A platform that only hands back an attendance list has nothing to offer there. One that generates a structured insight report, what questions came up, where hesitation showed, what a market actually needs to hear, is doing something a recording never will. This is often missed when someone chooses a platform on running logistics alone. It's not just about whether a session goes smoothly. It's about whether that session can actually inform strategy afterwards, whether what gets said in the room feeds back into launch planning, market access conversations, or product positioning, or whether it just evaporates the moment the call ends.

A checklist worth running through before signing anything

  • Does compliance (AE reporting, PI footers, consent capture) run automatically, or does someone configure it per programme?
  • Was the platform built around regulated HCP engagement, or adapted from a general-purpose webinar tool?
  • Is pricing published anywhere, or does it require a sales conversation first?
  • Can a session go live without an onboarding project starting first?
  • If something goes off-script mid-session, is there something catching it automatically?
  • Does it look like your brand, or a generic third-party interface?
