The Ask

A pharmaceutical client needed deep, qualitative insights and quantitative data validation from HCPs across Europe for a rare liver disease. They wanted practitioners to present and compare how their countries are managing the condition and open discussions on future treatment.

The client required a solution to deliver content and gather feedback via a single platform over a 6-week virtual advisory board.

Challenges

  • Managing advisory boards can be time-consuming and expensive, particularly across multiple countries and time zones.
  • Traditional methods of recruiting HCPs, tracking engagement, and ensuring completion of materials requires considerable coordination.
  • Traditional virtual boards with disparate links and portals often lead to participant drop-off.

The Solution

Adelo’s single, centralized platform hosted all interactions, bringing clinical content and engagement into one secure, user-friendly hub. Working closely with the client, Adelo designed a six-week programme for HCPs specialised in the disease, supporting flexible, asynchronous and live engagement.

Customised Experience: As content was new, Adelo went beyond the standard platform to create bespoke branding, incorporating the client’s logo and a design to reflect the topic. The platform was visually cohesive, warm, and credible, maintaining a professional medical study aesthetic.

WEEKS 1-3: Knowledge priming

Activity: Modules unlocked weekly (Presentations, Videos, Resource Library). Engagement: Polls & Discussion Boards. Result: Established a baseline of knowledge.

WEEK 4: Virtual Debate Live

Activity: Live virtual debate hosted on the same platform. Engagement: HCPs shared case studies and debated approaches. Result: High-energy stress testing of ideas.

WEEK 5: Synthesis Asynchronous

Activity: Reflection & Review. Engagement: Final surveys.

WEEK 6: Deep Dive Live Virtual

Activity: 1:1 or Small Group Interviews. Result: Platform insights from Weeks 1-5 were sufficient to meet client objectives.

Key Takeaways

  • Centralization Drives Retention: Removing technical friction keeps HCPs focused on the content, not the login process.
  • Longitudinal Engagement Works: Spreading content over six weeks allows for reflection and higher-quality, more informed responses.
  • Hybrid is Superior: Combining the flexibility of asynchronous work with the energy of live debates encourages high-quality discussions and consensus-building.
  • AI-Enhanced Optimisation: Discussion boards and surveys were monitored in real time to refine debate topics, turning participation into strategic medical intelligence.

Final Outcome: “Optimizing Data Insight”

Optimization in Action: Insights from Weeks 1-3 informed Week 4 debates, ensuring discussions were targeted and impactful.

Client Impact: The client noted that this optimization was “invaluable,” turning raw participation into strategic medical intelligence. Insights informed decisions, strategy, and future projects.

The client received a comprehensive data set comprising engagement metrics, debate video assets, and analyzed transcripts, all delivered through a streamlined, optimized process.

Originally planned as a 5-6 week programme, the project adapted in real time as discussions evolved. The platform provided all required insights by Week 5, demonstrating the efficiency and flexibility of the Adelo solution. HCP interactions with the content directly informed the client’s strategy, shaping follow-up discussions and future initiatives.

“Thanks a lot for this collaboration and your adaptability… it’s been a pleasure.”
